500 Words Privacy Notice
It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal information about you during and after your relationship with us, in accordance with data protection law.

WHAT TYPE OF PERSONAL INFORMATION WILL BE COLLECTED AND OUR LAWFUL BASIS.
Stories must be submitted by an adult (parent/guardian on behalf of the child or teacher who has obtained the child’s parent or guardian’s consent to submit an entry on behalf of the child).
The personal data that we will collect are the Submitter’s name, email, phone number, and relationship to the writer. The submitter will be asked to provide the writer’s name, age, school, gender, region, and postcode. If the submitter is not the writer’s parent/guardian then the parent/guardian’s name, email, and phone number must be provided instead.
The legal basis for processing this personal data is our legitimate interest in managing the competition and notifying the winners. However; the application will only proceed where parental consent has been provided and verified.
Individuals signing up as Judges will be asked to supply their Name, Job Title, Postcode, Region, email address, phone number, preferred judge group (age 5-9 or 10-13), referee name, referee job title, referee email address. The legal basis for processing the judges’ personal data is our legitimate interests in in allowing the competition to be marked.
We have carefully considered the impact on you, the children/writer, and the judges and we will not use yours or their personal information where the impact overrides our interests.
HOW WILL THE INFORMATION BE USED?
All personal data will be collected for the purposes of administering the competition and to provide updates to all the parties concerned on the progress of entries through the competition.
HOW LONG WILL YOUR INFORMATION BE RETAINED?
If you are a submitter or parent and the writer you have nominated is unsuccessful after the first or second round, we will retain your personal information and that of the writer until 30th June 2020; if the writer you have nominated is successful at the final round we will keep your personal information and that of the writer until 12th June 2022.
If you are a judge or a referee we will retain your personal information until 30th June 2020 unless you consent to receiving communications about 2021’s competition. If you consent to receiving communications about 2021’s competition the 大象传媒 will retain your personal information until 30th June 2021. WILL 500 WORDS SHARE MY INFORMATION WITH ANYONE ELSE?
We will share your information with a third party supplier hosting the online contact form on behalf of the 大象传媒. We will not share your personal information with any other third parties, unless required by the law.
