Radio 3 Carol Competition 2021: Privacy notice

It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.
Why we are doing this and how you can鈥痯articipate
The Radio 3 Christmas Carol competition 2021 is looking for the best original tune (composition) to the words of the poem ‘Love Came Down at Christmas' by Christina Rossetti. We’re looking for a cracking tune that's memorable and can be easily learned by singers of all abilities. It can be any style: traditional hymn, gospel or folk, something that will sound great sung in a big choir, or by your local carollers. You can record yourself singing your tune into a mobile phone, or write it down in a score and email or post it to us.
You must be 16 or over to take part in this competition.
The 大象传媒 will collect your personal information for the purposes of administrating the Carol Competition.鈥疶he 大象传媒 production team will collect your personal information via an online platform used by the 大象传媒 or via email / post, depending on how you choose to enter the competition.
How will the 大象传媒 use my personal data?
If you decide to take part in the competition, the 大象传媒 will collect and process the following personal data that you have provided to us about yourself:
• Your name
• Phone number
• Address
• Your email address
• Your voice recording
• Confirmation that you are over the age of 16 on 2 November 2021
We will share your composition (and your voice recording if this has been included with your entry) with our Judges, who will decide on a shortlist of 6 compositions that will move forward to the next stage of the competition.
If you are shortlisted, your composition will be made into an arrangement by Ken Burton and will be performed live by 大象传媒 Singers on Radio 3’s Breakfast programme. After the live performance, the shortlisted carol and your name will be shared on the 大象传媒 Radio 3 website. We will share your name and composition (performed by the 大象传媒 Singers) online, so that the public will be able to vote for your carol composition during the voting period.
Who is the Data Controller?
The 大象传媒 is the “data controller” of your personal data. This means that the 大象传媒 decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the 大象传媒 has the responsibility to comply, and to demonstrate compliance with, data protection law.
Lawful basis for processing your personal data
The legal basis on which the 大象传媒 processes your personal data is the 大象传媒’s legitimate interest. The 大象传媒’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains. It is in the 大象传媒’s legitimate interest to process your personal data to manage the competition, to notify winners and to further the 大象传媒’s public purpose by interacting and engaging with a diverse audience. We have carefully considered the impact on you and will not use your personal data where the impact overrides our interests.
Sharing your data
The 大象传媒 works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the 大象传媒 and not independently of the 大象传媒. We currently use a third-party data storage provider to store your data collected through the uploader form. We ensure that our providers have all entered into an appropriate contract, which ensures they cannot do anything with your personal data except as we have instructed them to do so.
We will not share your personal data with any other third parties unless required or permissible by the law.
Retaining your data
If you are not chosen as a finalist, the 大象传媒 will retain entrant's personal data until 8 January 2022, after which it will be deleted.
If you are one of our six shortlisted finalists, the 大象传媒 will retain your personal data for a period of two (2) years following collection for regulatory reasons, after which it will be deleted.
The names of shortlisted candidates and the winner, together with their compositions, will be published on 大象传媒 Radio 3’s website.
Any personal information in broadcast content will be made available publicly through various mediums and archived in accordance with the 大象传媒’s Editorial Guidelines.
If your鈥痗ontribution is broadcast, it will be retained and archived by the 大象传媒鈥痠n perpetuity for archival purposes.
Your personal data will be stored within the UK and the EEA.
Your rights and more information
You have rights under data protection law. You can request a copy of the personal data 大象传媒 stores about you.
You have the right to ask for the personal data we collect about you to be deleted however there are limitations and exceptions to this right which may entitle the 大象传媒 to refuse your request.
In certain circumstances, you have the right to restrict the processing of your personal data or to object to the processing of your personal data.
You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.
