Radio 3 Carol Competition 2022: Privacy notice

Your trust is very important to us. This means the 大象传媒 is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

The 大象传媒 is encouraging non-professional composers to submit an original composition to be considered for Radio 3’s Christmas Carol Competition 2022.

The 大象传媒 will select a poem for you to supply a melody so as to create a carol. Your composition can be written using musical notation or sung, and sent to us as an audio file. Recordings can be submitted online while notated entries can be submitted either online or via post.

If you submit your entry online, the 大象传媒 will collect the personal data via an online platform used by the 大象传媒.

The 大象传媒 production team will draw up a longlist of fifty (50) compositions, that will then be shortlisted by an external judging panel to six (6) compositions. The shortlisted entries will then be arranged and the carol recorded by a choir, giving the chance for Radio 3 listeners to listen to each composition and to vote for their favourite carol. The winner will be announced on Radio 3’s breakfast show on Friday 23rd December 2022.

If we broadcast your contribution on-air, this may include the programme being available online and/or on demand, and your contribution may be used again in a future broadcast.

We may use your contribution for promotional purposes on the 大象传媒’s social media sites.

What personal data will the 大象传媒 collect and how will we use it?

The 大象传媒 will collect and process the personal data for the purposes of selecting Christmas carols for the competition, to contact entrants who successfully go through to each stage of the composition and to check they meet the eligibility criteria.

Personal data:
You must be 16 years or older on 1st November 2022 to participate in the competition.

The 大象传媒 will collect and process the following personal data about you:
• Full name
• Email address
• Contact telephone number
• Postal address, including post code
• An audio recording of your voice (if used for your entry)

Optionally, we will also ask where you heard about this competition.

Who is the Data Controller?

The 大象传媒 is the “data controller” of your personal data. This means that the 大象传媒 decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the 大象传媒 has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The lawful basis on which the 大象传媒 processes your personal data is the performance of its public task.鈥疶he 大象传媒’s role is to act in the public interest and鈥痶o鈥痵erve all audiences with content which informs, educates, and entertains.鈥疶his is consistent with the 大象传媒’s wider public purposes under its Royal Charter in which the 大象传媒 should, “show the most creative, highest quality and distinctive output and services: the 大象传媒 should provide high-quality output in many different genres and across a range of services and platforms which sets the standard in the United Kingdom and internationally.”

Sharing your personal data

The 大象传媒 works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the 大象传媒 and not independently of the 大象传媒.

A longlist of fifty (50) compositions will be shared with an external judging panel to select a shortlist.

We may share personal data with a third party where required or permitted by law.

Retaining your personal data

If you are one of our six (6) shortlisted finalists, the 大象传媒 will retain your personal data for a period of two (2) years from 1st November 2022, for auditing and compliance purposes.

If your鈥痗ontribution is broadcast, it will be held by the 大象传媒鈥痠n perpetuity for archival purposes.

If you not selected as one of the finalist your personal data will be stored until 11th January 2023, when it will be deleted.

Your personal data will be stored in the UK and the EEA.

Your rights and more information

You have rights under data protection law:
• You can request a copy of the personal data the 大象传媒 stores about you.
• You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
• You have the right to ask for the personal data we collect about you to be deleted, however there are limitations and exceptions to this right which may entitle the 大象传媒 to refuse your request.
• In certain circumstances you have the right to restrict the processing of your personal data, or to object to the processing of your personal data.
• You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.
