Privacy Notice

Your trust is very important to us. This means the 大象传媒 is committed to protecting the privacy and security of your personal data. It is important that you read this notice, so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

大象传媒 Radio Scotland Young Traditional Musician is an annual award hosted by 大象传媒 Scotland to promote traditional music in Scotland. The award is open to any musicians between the ages of 18 and 27 who have been living in Scotland for at least a year.

Applications are accepted online, and the top twelve (12) applicants are selected to take part in the semi-finals. Six (6) competitors are selected in the semi-finals to take part in the finals during Celtic Connections. All dates for the semi-finals and finals are available on application, and applicants are expected to be available for these dates.

The 大象传媒 will collect the personal data via an online platform used by the 大象传媒.


The semi-finals and finals will be filmed. If we broadcast your contribution on-air, this may include the programme being available online and/or on demand, and your contribution may be used again in a future broadcast.

We may use your contribution for promotional purposes on the 大象传媒’s social media sites.

What personal data will 大象传媒 collect and how will we use it?

The 大象传媒 will collect your personal data for the purposes of administering the award. There are two types of personal data: personal data and special category data. Special category data is still personal data, but its processing by the 大象传媒 requires the 大象传媒 to follow additional compliance steps.

Personal data:

The 大象传媒 will collect and process the following personal data about you:

  • Your full name
  • Your postal address
  • Your age
  • Your email address
  • Your audio recording
  • Your mobile number
  • A short description about yourself and your interest in traditional music

The 大象传媒 may also process special category data depending on the content of your submission to us. This might include for example:

  • Racial or ethnic origin
  • Religious or philosophical beliefs
  • Political opinions
  • Health information
  • Sex life and sexual orientation

Who is the Data Controller?

The 大象传媒 is the “data controller” of your personal data. This means that the 大象传媒 decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the 大象传媒 has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The lawful basis on which the 大象传媒 processes the personal data and special category data is the performance of its public task. The additional basis on which the 大象传媒 processes your special category data is substantial public interest relating to ‘statutory and governmental purposes’. The 大象传媒’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains.

This is consistent with the 大象传媒’s wider public purposes under its Royal Charter which requires the 大象传媒 to, “show the most creative, highest quality and distinctive output and services: the 大象传媒 should provide high-quality output in many different genres and across a range of services and platforms which sets the standard in the United Kingdom and internationally.”

We also have a legal obligation to process the personal data of the winners to comply with relevant competition regulations.

Sharing your personal data

The 大象传媒 works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the 大象传媒 and not independently of the 大象传媒.

We will share information about the nominees with the judging panel. This includes the audio and written application that the nominees submit to allow the judges to shortlist candidates.

We may share personal data with a third-party where required or permitted by law.

Retaining your personal data

If your nomination is not shortlisted, your personal data will be deleted on 2 February 2025

Details of the shortlisted nominations will be kept for no longer than twelve (12) months after the awards ceremony on 2 February 2025.

The winner’s name and contact details will be kept for two (2) years after the ceremony.

If you feature on a broadcast or online content this will be retained and archived by the 大象传媒 in accordance with the 大象传媒’s Archiving Policy.

Your data will be stored within the UK and European Economic Area (EEA).

Your rights and more information

You have rights under data protection law:

  • You can request a copy of the personal data 大象传媒 stores about you.
  • You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
  • You have the right to ask for the personal data we collect about you to be deleted however there are limitations and exceptions to this right which may entitle the 大象传媒 to refuse your request.
  • In certain circumstances, you have the right to restrict the processing of your personal data or to object to the processing of your personal data.
  • You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.

Updating this privacy notice

We will revise the privacy notice if there are significant changes to how we use your personal data.
